Overview

Spaces in Orbit Flows provide dedicated environments for organizing work by client, department, or project type. Each Space contains its own projects, templates, voices, and knowledge resources, keeping everything neatly segmented. Properly setting up a Space with relevant knowledge and accurate voices ensures your templates produce customized, high-quality content tailored to specific needs.


How To

Create a new Space

  1. Click the plus (+) button next to "Spaces" in the sidebar

  2. Enter a name for your Space

  3. Select a color to visually distinguish it

  4. Click "Create Space"

Add knowledge resources

  1. Navigate to the Knowledge section within your new Space

  2. Click "Add Knowledge"

    For client Spaces:

    • Add their homepage and about pages

    • Include offer pages or product information

    • Upload positioning documents if available

    For department Spaces:

    • Team documentation, process guides, and strategy documents. Such as:

      • Marketing: Add positioning documents

      • Sales: Include offer one-pagers and objection handling sheets

      • Product: Upload feature/benefit overviews

Create Voices

  1. Go to the Voices section

  2. Upload examples of existing content to analyze

  3. Define voice characteristics and rules

  4. Create multiple voices if needed (e.g., website, social, email)

Tips

  • Start with essential Knowledge materials that your team frequently references

  • Create separate Voices for different content types to maintain a consistent tone across channels

  • Use client materials like positioning documents and about pages to ensure alignment with their brand

  • Think about onboarding materials when selecting Knowledge to add - what would a new team member need?


FAQ

Can I have multiple Spaces for the same client?

Yes, you can create multiple Spaces for a single client if needed. This can be useful for separating different product lines, campaigns, or departments within a larger client organization.

Can I share knowledge between spaces?

Currently, knowledge is specific to each Space. If you need the same knowledge in multiple Spaces, you'll need to add it to each Space individually.

What happens if I don't add knowledge or voices to my Space?

Templates will still function, but they won't be customized to your specific client or department needs. Adding knowledge and voices significantly improves the relevance and quality of content produced.
